Junior Accounts Payable Specialist

We are looking for a Central Accountant who brings relevant industry experience. We want to see highly diligent candidates with strong interpersonal skills and a pragmatic approach to drive things forward. The person will be based in the Hei
Q Iberia office in Moreira da Maia, Portugal.

Your responsibilities

• Invoice Processing & Matching: Receive, review, process, and archive vendor invoices, ensuring they match purchase orders and goods receipts.
• Payment Processing: Assist in the preparation and execution of payment proposals, ensuring timely and accurate payments.
• Vendor Account Reconciliation: Reconcile vendor accounts, identify discrepancies, and ensure financial records are accurate.
• Accounts Maintenance: Maintain and clear vendor accounts, ensuring records are up to date.
• Aging & Invoice Monitoring: Analyze outstanding invoices in collaboration with operational teams to prevent delays.
• Approval Process Oversight: Track and follow up on invoice approvals to ensure timely settlements.
• Month-End Closing: Support
  - end accounting tasks, including trade payables and prepaid invoice calculations within deadlines.
• Process Improvement: Contribute to optimizing accounts payable procedures to enhance efficiency.
• Compliance & Tax Support: Assist in ensuring compliance with tax regulations, including VAT for multiple jurisdictions where applicable.

You bring

• Education: Degree in Accounting, Finance, or a related field.
• Experience: 1-3 years of experience in accounts payable or a similar finance role.
• Technical Skills:
  • Basic knowledge of bookkeeping and accounting principles.
  • Experience with accounting software and ERP systems.
  • Proficiency in Microsoft Excel (pivot tables, VLOOKUP, basic formulas).
• Language Skills: Fluent in English (mandatory); German is a plus.
• Analytical & Problem-Solving Abilities: Strong attention to detail, ability to investigate and resolve discrepancies.
• Organizational Skills: Ability to prioritize tasks, work efficiently under deadlines, and manage multiple responsibilities.
• Communication & Teamwork: Strong interpersonal skills to collaborate with internal and external stakeholders.
• Adaptability: Proactive, motivated, and flexible, with a continuous improvement mindset.
