The IT Transversal department is responsible for overseeing and managing various IT functions across the organization. This includes:
- Global Infrastructure: Ensuring the robustness and efficiency of IT infrastructure in Euronext Datacenters and in public Cloud, providing the end user services (digital workplace) to all Euronext employees.
- Production Services: Supporting the operational activities of the organization by monitoring and operating 24/7 Euronext IT environments.
- Infosec: Implementing security measures to protect the organization's information assets and ensuring compliance with regulatory requirements.
- IT Corporate Functions: Providing IT support for corporate functions, including finance, HR, and legal.
- Group Architecture: Developing and maintaining the overall IT architecture to ensure alignment with the organization's strategic goals.
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to both the CTO IT Transversal and the CEO Euronext Technology Porto. The ideal candidate will be based in Porto and will possess exceptional organizational skills, strong communication abilities, and the capacity to manage multiple priorities efficiently.
Key Responsibilities:
- Manage and maintain active calendars for the CTO and CEO, including scheduling meetings, appointments, and travel arrangements. Take in charge any logistic tasks to support them in their activities.
- Serve as a liaison between the executives and internal/external stakeholders, ensuring smooth communication and collaboration.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Organize meetings, including preparing agendas, taking minutes, and following up on action items on demand.
- Handle confidential information with discretion and professionalism.
- Assist with special projects and initiatives as required by the executives.
- Prioritize and manage multiple tasks simultaneously, ensuring timely completion of all responsibilities.
- Contribute to the budget consolidation of the departments under the scope of accountability of the CTO, assist the work on the reliability of resource costs by reviewing allocations on a weekly basis.
- Provide support to the teams in managing billing providers' expenses.
- Participate in contract management activities, including renewal of contracts.
- Support other transversal tasks that aid the operational activities of the departments.
Qualifications:
- Proven experience as an Executive Assistant or in a similar role, preferably supporting senior executives.
- Excellent organizational and
- management skills. - Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Power
Point, Outlook). - Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Strong
- solving skills and attention to detail. - Fluency in English.
