Accounting and Administrative Assistant
We are seeking a
- oriented and proactive Administrative and Accounting Assistant to join our team. This role is integral to ensuring smooth financial operations, managing cash flow, processing payments, handling invoices, and performing various administrative duties. The ideal candidate will have strong organizational skills, a keen eye for detail, and experience in both administrative and accounting tasks.
- Cash Flow Management:
- Monitor and manage daily cash flow, ensuring sufficient funds are available for operational needs.
- Assist in preparing cash flow forecasts and reports for management.
- Invoicing:
- Create and issue invoices when necessary, ensuring accuracy and timely submission.
- Follow up on unpaid invoices and manage collections in a professional manner.
- Payments:
- Process incoming payments and ensure proper allocation to accounts.
- Manage outgoing payments.
- Reconcile payment records with bank statements.
- Financial Record Keeping:
- Maintain accurate financial records and ensure all accounting transactions are recorded.
- Assist with bookkeeping tasks such as maintaining the general ledger, updating financial databases, and tracking expenses.
- Administrative Support:
- Provide general administrative assistance to the finance and operations teams.
- Handle correspondence, emails, and calls related to financial matters.
- Maintain and organize filing systems, both paper and electronic, for financial documents.
- Reporting:
- Assist in preparing financial reports, budgets, and statements for review by management.
- Perform data entry, reconciliation, and verification of financial data.
- Compliance:
- Ensure all accounting practices comply with relevant regulations and internal policies.
- Assist with audits and tax filing processes as required.
- Education:
- Associate’s degree in Accounting, Finance, Business Administration, or related field (preferred).
- Relevant certifications (e. g. , Quick
Books, Excel, or bookkeeping) a plus.
- Experience:
- Proven experience in administrative and accounting roles, with a focus on cash flow management, invoicing, and payment processing.
- Proficient in accounting software (e. g. , Quick
Books, Xero) and Microsoft Office Suite, especially Excel.
- Skills:
- Strong attention to detail with excellent organizational and
- management skills. - Ability to manage multiple tasks and meet deadlines.
- Strong verbal and written communication skills.
- Analytical mindset with the ability to identify discrepancies and resolve issues.
- Professional and proactive attitude with a high level of discretion.
